Job description:

Job Title: Bilingual Business Administrator (Mandarin / English)

Job Type: Full-time

Location: In-person (San Diego, CA)

About the Opportunity

Ready to kickstart your career in a fast-paced environment where your work actually changes lives? At Physician’s Surrogacy, we’re looking for a highly driven, culturally fluent Business Administrator to be the operational backbone of our team.

This isn’t your average desk job—it’s a career launchpad. You’ll get a frontline view of how a premier healthcare business operates, taking on cross-functional projects, solving real-time challenges, and driving initiatives that fuel our growth. If you are a proactive problem-solver looking to make a massive impact early in your career, you belong here.

⚡ Who We Are

Physician's Surrogacy is an industry-leading organization offering a complete, under-one-roof suite of fertility services. We are deeply passionate about our mission: helping people realize their dreams of becoming parents. We thrive on personal initiative, collaborative teamwork, and continuous growth.

⚡ What You’ll Do (Your Impact)

  • Drive Cross-Functional Operations: Step way beyond basic admin work. You’ll assist in rolling out department systems, optimizing workflows, and supporting high-impact company initiatives.
  • Own the Digital Workspace: Act as our tech-savvy organizer. Build and maintain intuitive digital filing systems and manage vital data across Google Sheets and modern IT tools with speed and precision.
  • Manage Client & Partner Relations: Serve as a confident, bilingual voice for our brand. You’ll manage professional communications, engage with partners, and make critical outgoing calls to clients.
  • Strategic Problem Solving: Think on your feet. Use your independent judgment to troubleshoot issues, taking ownership of daily challenges while knowing exactly when to collaborate with leadership.
  • Ensure Administrative Excellence: Keep the engine running smoothly. Handle highly confidential healthcare files with absolute discretion while managing the day-to-day office logistics that keep our team moving fast.

⚡ What You Bring to the Table

  • Work Authorization: Must be legally authorized to work in the United States. (Please note: We do not provide employment sponsorship for this role).
  • Communication & Cultural Nuance: Strong professional English fluency (reading, writing, and speaking) is required to manage client and team communications effectively. If you also speak Mandarin and understand bicultural nuances, that is a massive bonus!
  • Education: A Bachelor's degree is required. (Got a degree in Biology or Life Sciences? That’s a huge plus!)
  • Experience: At least 1 year of hands-on administrative, operations, or project coordination experience. (Prior sales or customer-facing experience is highly preferred).
  • Tech-Savvy: Highly proficient in modern tech stacks and office tools, particularly Google Sheets (required), alongside Microsoft Word, Excel, and Outlook.
  • Core Traits: You’re hyper-organized, detail-obsessed, and thrive when multitasking. You have a natural knack for customer service, flawless communication, and a "get-stuff-done" mentality.

⚡ Why You’ll Love Working With Us

We believe in investing in the people who drive our mission forward. We offer a comprehensive benefits package designed to support your physical, financial, and mental well-being:

  • Comprehensive Health, Dental, and Vision insurance
  • 401(k) with company matching & Retirement plan
  • Generous Paid Time Off (PTO) to recharge

  • A supportive, mission-driven team culture that champions your professional growth and mentorship
